Data Conversion - Memo Headers

Summary
Memo headers are meant to summarize the memo transaction (purchase order derived) and corresponding received memo inventory. Memo inventory must be tracked separately and thus has different requirements for inventory and cost basis. Multidev built out a module inside of Multidev Accounting that tracks this inventory and uses the distinction of asset for SMC-inventory and memo for memo inventory. As a rule, asset inventory is sold first and then memo inventory. There are thresholds for automatic ordering. The cost basis for memo inventory must be maintained separately. To accomplish this, the history of all memo agreements is needed (at least to the extent supported by current inventory). To support memo inventory and the transition into Multidev, these headers must be imported. This document explains the source-target mapping from the current system along with the process to import the data.

- There is no direct reconciliation/comparison of the sum of ASSETUNIT and MEMOUNIT values to the total on hand from inventory levels to be imported. After memo headers are imported, a verification can be done.
- SMC doesn’t track asset units. Art suggests we only set memounits and then use the verification/editing process to set the balance of units remaining to ASSETUNITs.
- Memo unit lots need to be separate without any combination of different date and cost (or supplier). This is inherent to how the memo module is designed but should be accounted for. Each line should have a different REFNUMBER and there should be a 1:1 correspondence between the created lines and the import file.
- The buyers don’t always use FIFODATE to decrease the units as desired. The memo module does automatically. At the transition the FIFO date will need to be specified as desired. This should be confirmed as OK with accounting so there still exists a means to audit lots readily.
